Presolicitation Notice Presolicitation Notice *=Required Field Presolicitation Notice Page 1 of 2 DESCRIPTION Please note the Government intends to issue the solicitation for RICOH Copier Maintenance for the Washington DC Department of Veterans Affairs Medical Center Community Living Center (CLC). The anticipated performance period is for a Base year plus 1 (one) Option year, April 30, 2026 - April 29, 2027 and April 30, 2027 - April 29, 2028, respectfully. This requirement is a set-aside for Small Business concerns under the authority of FAR 19.205. Only those Small Businesses listed and viewable in the Small Business Administration (SBA) database located at https://search.certifications.sba.gov. The SBA database will be checked at the time of offer submission as well as prior to award. The awarded contractor must also submit evidence of enrollment with VETS4212 in order to receive award. The resultant contract will be a Base plus 1 option year commercial Firm Fixed Price Contract. All contractors have to be registered in the SAM Database https://www.sam.gov prior to contract award pursuant to FAR provision 52.204-7. Therefore, prospective offerors are encouraged to register prior to the submittal of quotations. STATEMENT OF WORK A. GENERAL INFORMATION 1. General: The Hershel Woody Williams VAMC in Huntington, WV requires a Maintenance Contract to cover VA owned RICOH All in One Multi-Function Devices (MFD) (Copiers / Printers / Fax) the number of units are subject to change pending new purchases or turn in of existing units. We currently have 1 Production machine that will be covered under this Contract. 2. Scope of Work: The contractor shall provide all resources necessary to accomplish maintenance service, provide toner, parts and other supplies, excluding paper as described in the statement of work (SOW) for 7,988 Black and White copies and 4,993 Color Copies per Month for the MFDs listed in this SOW. 3. Performance Period: Base: April 30, 2026 - April 29, 2027 OY1: April 30, 2027 - April 29, 2028 4. Type of Contract: Firm Fixed. A firm fixed cost per Copier will be agreed to. The number of copiers will vary throughout the length of the Contract as new copiers may be added, and old Copiers may be removed. VA will be invoiced monthly per the number of Copiers covered during each month. 5. Places of Performance: The RICOH Unit mentioned for this contract are located at: a.VA Medical Center 1540 Spring Valley Dr. Huntington WV 25704 B. GENERAL REQUIREMENTS 1.Provide Maintenance Service to include all Parts, Labor, Toner and other supplies necessary, excluding paper, to keep operational the device covered under this Contact for the following current inventory of All in One MFDs.
